This page explains what Ship Jay collects when you use it, why we collect it and who else sees it. It is written to be read, so if something is unclear, ask us.

What we collect

  • Your account: name, email address and a hashed password. We never store your password itself.
  • Your business: the name, ship from addresses, saved packages, brand settings and team members you add.
  • Your shipments: the recipient names, addresses, phone numbers and email addresses you enter, the parcel details, the labels, the tracking history and the charges.
  • Your balance: every top up, label charge, refund and adjustment, kept as ledger lines that are never edited.
  • Your activity: an audit log of changes made in the account, including changes made by API keys.
  • Messages you send to support.

Why we use it

We use this information to price and buy labels, show tracking, send the emails you ask for, run returns, keep your balance correct, protect accounts and answer your questions. We do not use it to show advertising and we do not sell it.

Who else receives it

  • Shipping carriers and the label services we use to reach them receive the addresses and parcel details needed to quote, buy, track and refund a label.
  • A payment processor handles card payments for top ups. Card numbers go to the processor and are not stored by us.
  • An email delivery service sends account emails and the tracking and return emails you set up.
  • Stores, systems and webhooks that you connect receive the data you send to them.
  • Our hosting providers store the data and run the service for us.

We may also disclose information where the law requires it.

Your customers

The people you ship to are your customers. You decide what to enter about them, and you are responsible for having the right to use it. Tracking pages and return pages are reached by a link that cannot be guessed, and search engines are asked not to index them.

Cookies and similar storage

We set a sign in cookie so you stay signed in, and we store your light or dark theme choice in your browser. We do not use advertising or analytics trackers.

Keeping it safe

Each business’s records are separated inside the database, and an account can only read its own rows. API keys are stored as hashes and shown once. Webhook messages are signed so your server can check where they came from.

How long we keep it

We keep your records while your account is open. Ledger lines and the audit log are append only by design, because they are the record of your money and your changes.

Your choices

You can see and correct your account details in Settings. For a copy of your data, a correction we cannot make for you, or a question about this page, contact [email protected].

Changes

If we change this page in a way that matters, we will update the date above and tell account owners by email.
